Report and Analysis Dashboard

Learn how to use the Report and Analysis Dashboard to review your personal performance metrics, track chatbot activity across jobs and campaigns, and drill into placements and live job data.

The Report and Analysis Dashboard gives you a personalised view of your recruitment chatbot performance.

  • Everything on this page is specific to you — your hours saved, your connected candidates, your campaigns, and your jobs. Use it to understand how the chatbot is working for you and where there are opportunities to improve engagement.


Use the Report and Analysis Dashboard

The Report page is titled with your Bot's name — for example, Charlie's Analysis — because the data shown here is personalised to your Bot account. Every chart and table reflects activity tied to your jobs, campaigns, and chatbot interactions.


Filter by Date Range

You can adjust the date range across all panels to view your performance for a specific period.

  1. Go to Report, then click the date range dropdown in the top-right corner of the page.

  2. Select one of the preset options: Today, Yesterday, Last 7 days, or Last 30 days, then all panels update automatically.

  3. To set a custom period, select Custom Range, then enter your preferred start and end dates.


Overall Performance

The Overall Performance panel gives you a top-line summary of your chatbot activity for the selected date range, showing four key figures:

Hours Saved

Total hours saved through chatbot interactions in the selected period.

Connected

Total number of candidates who connected with the chatbot.

Jobs

Total number of jobs active during the selected period.

Campaign

Total number of campaigns active during the selected period.

Below these figures, the Chats Per Day line chart shows how many chatbot conversations took place at each hour of the day across the selected period.

  • Hover over any point on the chart to see the exact date and number of chats at that time.

You can interact with the chart using the controls in the top-right corner of the panel:

  • Click + to zoom in on the chart timeline.

  • Click to zoom out.

  • Click the menu icon (≡) to download the chart as an SVG, PNG, or CSV file.


Profiles (Top 5)

The Profiles (Top 5) panel shows a horizontal bar chart of the top five job profiles by chatbot activity in the selected period.

  • Each profile displays two bars — one for Invited (candidates sent an invite) and one for Connected (candidates who engaged with the chatbot).

Hover over any bar to see the exact count for that profile. Click the menu icon (≡) in the top-right of the panel to download the chart as an SVG, PNG, or CSV file.


Connection Ratio

The Connection Ratio pie chart breaks down all chatbot interactions in the selected period by outcome. The segments represent:

Screened

Candidates who completed a screening conversation.

Reconnected

Candidates who were successfully reconnected.

In Progress

Candidates currently mid-conversation with the chatbot.

Drop Off

Candidates who started but did not complete the conversation.

No Response

Candidates who received an invite but did not engage.

Hover over any segment to see the exact count for that outcome. Click the menu icon (≡) to download the chart.


Busiest Period

The Busiest Period heatmap shows which days and times your chatbot receives the most activity. Days of the week run along the vertical axis and hours of the day run along the horizontal axis. Darker squares indicate higher chat volumes.

  • The legend at the top of the panel shows activity bands: 0, 1–1, 2–2, 3–3, and 4–4. Hover over any square to see the exact day, time, and chat count for that slot.

Click the menu icon (≡) to download the heatmap as an SVG, PNG, or CSV file.


Placements Filled

The Placements Filled panel shows the total number of placements filled by candidates who interacted with the chatbot during the selected period. The large number displayed is the total placement count.

View Full Placements Detail

  1. Click More in the top-right corner of the Placements Filled panel.

  2. The full Placements Filled table opens, showing all placement records with the following columns: Job ID, Job Position, Job Start, Job Type, Candidate ID, Candidate Name, Client Name, Chat On, Profiles, Campaigns, and Last Chat.

  3. Click on any row to open the candidate detail panel, which shows the Applicant details (name, phone, email, position, suburb), the chat transcript, the Summary of the candidate's responses, and the Events log.

  4. Click Export at the bottom of the table to download the full placements data as an Excel file.


Email Open Rate

The Email Open Rate panel shows the performance of emails sent by the chatbot during the selected period. It displays six figures:

Total number of emails requested to be sent.

Delivered

Percentage and count of emails successfully delivered.

Opened

Percentage and count of delivered emails that were opened.

Clicked

Percentage and count of emails where the recipient clicked a link.

Bounces

Percentage and count of emails that could not be delivered.

Spam Reports

Percentage and count of emails marked as spam by recipients.


Live Campaign (Last 5)

The Live Campaign table shows a summary of your five most recent active campaigns and their engagement figures. The columns displayed are:

The name of the campaign.

Invited

Total candidates invited via this campaign.

Connected

Candidates who connected with the chatbot.

Drop Off

Candidates who started but did not complete the conversation.

No Response

Candidates who did not respond to the invite.


Live Jobs (Last 5)

The Live Jobs table shows a summary of your five most recent active jobs and the screening outcomes for each. Click More to open the full Live Jobs detail page.

  1. Click More in the top-right corner of the Live Jobs panel.

  2. The full Live Jobs table opens with the following columns: Office, Client, Job No, Position, Posted On, Status, Invited, Conversed, Screened, Shortlisted, Maybe, Rejected, Drop Off, No Response, Interview Invited, Interview Booked, and Onboarded.

  3. Use the Status filter on the Status column to filter jobs by Live or Expired.

  4. Use the Office filter on the Office column to narrow results by office location.

  5. Click Export at the bottom of the table to download the full live jobs data as an Excel file.


FAQs

Q1: Why does the report show my name in the title?

  • Answer: The Report page is personalised to your account — the data shown reflects your own jobs, campaigns, and chatbot interactions only.

Q2: How do I see all placements, not just the summary number?

  • Answer: Click More in the top-right corner of the Placements Filled panel to open the full placements table, where you can view individual records and click into each one for full candidate and chat details.

Q3: What does Drop Off mean in the Live Campaign and Connection Ratio sections?

  • Answer: Drop Off means the candidate started a conversation with the chatbot but did not complete it. This can indicate the conversation flow may need reviewing or that candidates are losing interest partway through.

Q4: How do I filter Live Jobs by status?

  • Answer: Click More on the Live Jobs panel to open the full table, then click the filter icon on the Status column and select Live or Expired to narrow the results.

Q5: Can I download any of the charts or tables?

  • Answer: Yes. Each chart has a menu icon (≡) in the top-right corner that lets you download the chart as an SVG, PNG, or CSV file. The Placements Filled and Live Jobs full detail tables both have an Export button to download data as an Excel file.

Q6: What does the Busiest Period heatmap show?

  • Answer: The Busiest Period heatmap shows which days of the week and times of day your chatbot receives the most conversations. Darker squares indicate higher activity — use this to find the best times to send campaign invites.
