Use the Compliance Dashboard

Learn how to use the Compliance Dashboard to monitor candidate compliance status, manage active compliance checks, and take action on individual candidates.

The Compliance Dashboard gives you a centralised view of all active compliance checks running across your candidate pool.

  • Use it to track how many candidates are compliant, noncompliant, or currently being checked, and to manage your compliance records from one place.


Use the Compliance Dashboard

Compliance Metrics

At the top of the Compliance Dashboard, five metric tiles show performance data for the selected date range.

Candidates interacted with to check their compliance in the last 7 days.

Checking

Candidates currently being communicated with in the last 7 days.

Compliant

Candidates that have provided their updated compliance documents in the last 7 days.

Noncompliant

Candidates whose compliance documents have expired in the last 7 days.

Switch the Dashboard View

You can toggle between a card view and a list view of your Active Compliance checks.

  1. Go to Compliance, then locate the view toggle buttons in the top-right area of the Active Compliance section.

  2. Click the grid icon to switch to card view, or click the list icon to switch to list view.

πŸ“Œ Note: The list view displays additional columns, including Noncompliant, Checking, Unverified, Compliant, Invite Source, Active, Created By & Date, and Settings, which are not visible in card view.

  • Each compliance card in card view shows a summary count of Noncompliant, Checking, and Compliant candidates.


Filter the Compliance List

You can filter your Active Compliance list using the column filters available in list view.

  1. Go to Compliance, then switch to list view using the list icon in the top-right of the Active Compliance section.

  2. Click the filter icon next to any of the following columns to apply a filter:

Select one or more options from the dropdown, then the list updates automatically to show matching compliance checks.

Edit a Compliance

You can update the settings of an existing compliance check at any time.

  1. Go to Compliance, then locate the compliance you want to edit.

  2. Click the gear icon on the compliance card, or in the Settings column of the list view.

  3. The Compliance Details form opens with the current settings pre-filled. Update any fields as needed.

  4. To configure email or SMS notification settings, click Options, then select Configure Email/SMS.

  5. To update the eligibility rules for this compliance, click Options, then select Configure Criteria.

  6. To change the channels used to invite candidates, click Invite source, then select Checking (Email, SMS), Escalation (Email, SMS), or Rejection (Email, SMS) to assign the notification type per channel.

  7. Click Save to apply your changes.

πŸ“Œ Note: The Send Escalation Report On field lets you select which days of the week the escalation report is sent. You can select individual days or all days.


Clone a Compliance

You can duplicate an existing compliance to use it as a starting point for a new one.

  1. Go to Compliance, then switch to list view using the list icon.

  2. In the Settings column, click the copy icon next to the compliance you want to clone.

  3. A duplicate of the compliance is created. Click the gear icon on the new compliance to open and edit its details as needed.

  4. Click Save when you are done.


View Compliance Candidate Details

Click into any compliance to see a full list of candidates associated with that check, along with their current status and document history.

  1. Go to Compliance, then click on the name of a compliance in the Active Compliance list.

  2. The compliance opens and displays a table of candidates with the following columns: User ID, Name & Email, Mobile, Position, Status, Chat Date, Last Invite Sent, Expiry Date, and Updated Document.

  3. Use the Status filter to narrow the list by candidate compliance status. The available options are:

Status

Meaning

Checking

The chatbot is actively communicating with the candidate to collect their compliance document.

Verified

The candidate has provided a valid, up-to-date compliance document.

Unverified

The candidate's document has been received but not yet verified.

Noncompliant

The candidate's compliance document has expired or has not been provided.

Rejected

The candidate's submitted document was rejected.

Archive

The candidate has been archived from this compliance check.

  1. Use the Updated Document filter to narrow the list to candidates who have or have not submitted an updated document.

    • Select Yes or No from the filter dropdown.

  2. Use the Search bar to find a specific candidate by name, User ID, email, mobile, or location.

  3. Click the β“˜ icon next to a candidate's status badge to see a quick activity summary, including:

    • Reachout Date β€” the date the next outreach to the candidate is scheduled.

    • Escalation Date β€” the date the candidate will be escalated if no response is received.

    • From this popup, you can also take quick actions:

      • Click Archive to remove the candidate from active compliance checking.

      • Click Send Invite to manually trigger a new compliance invite to that candidate.


Take Bulk Actions on Candidates

You can verify or invite multiple candidates at once from within a compliance.

  1. Open a compliance from the Compliance dashboard.

  2. Tick the checkbox next to each candidate you want to act on, or tick the header checkbox to select all candidates on the page.

  3. Click the Selected dropdown that appears in the top-right corner, then choose one of the following:

    • Verify β€” mark the selected candidates as verified.

    • Invite β€” send a compliance invite to the selected candidates.

πŸ“Œ Note: The Export button at the bottom of the candidate list allows you to download the current compliance candidate data as an Excel file.


FAQs

Q1: What is the difference between Checking and Unverified?

  • Answer: Checking means the chatbot is actively reaching out to the candidate to collect their compliance document. Unverified means a document has been received but has not yet been reviewed and confirmed.

Q2: How do I stop the system from contacting a candidate about compliance?

  • Answer: Click the β“˜ icon next to the candidate's status badge inside the relevant compliance, then click Archive. This removes the candidate from active compliance checking.

Q3: Can I send compliance invites to multiple candidates at once?

  • Answer: Yes. Open the compliance, tick the checkboxes next to the candidates you want to invite, then click the Selected dropdown in the top-right corner and select Invite.

Q4: How do I duplicate an existing compliance to create a similar one?

  • Answer: Switch to list view, then click the copy icon in the Settings column next to the compliance you want to clone. A duplicate is created, which you can then open and edit using the gear icon.

Q5: What does the Escalation Date mean in the candidate popup?

  • Answer: The Escalation Date is the date on which the candidate will be escalated β€” typically triggering a notification to your team β€” if they have not responded or provided their compliance document by that date.

Q6: How do I change which days an escalation report is sent?

  • Answer: Open the compliance using the gear icon, then update the Send Escalation Report On field by selecting or removing days. Click Save to apply the changes.
